Appointment Booking

Turn a chat into a confirmed appointment.

Velaro keeps the customer conversation moving, checks the calendar your team already uses, and confirms the appointment without the handoff to a separate booking hunt.

You're booked. I've sent the confirmation and calendar invitation.

Velaro owns the booking conversation. Your calendar owns the appointment.

Customers book in the channel where they already asked for help. Your calendar remains the source for availability and the place the confirmed event lives.

1. AskThe customer asks to book in chat, SMS, or a supported channel.
2. CheckVelaro checks the connected calendar for times that are actually available.
3. ConfirmThe customer selects a time and provides the details the service needs.
4. Write backVelaro creates the appointment with the selected calendar owner and confirms it in the conversation.

Choose the calendar model that fits the business.

Outlook Calendar

For a professional or small team using individual Microsoft 365 or Exchange calendars. Velaro checks the organizer's schedule and creates the invitation in that calendar.

Microsoft Bookings

For organizations that already manage services, staff, and appointment rules in Microsoft Bookings. Velaro uses that service catalog and staff availability.

Calendly

For teams already using Calendly event types. Velaro uses its availability and can complete the booking directly when the Calendly account and event type allow it.

Do not duplicate calendar writers. A business can check more than one connected calendar for conflicts, but each service needs one declared primary owner for the confirmed appointment. That keeps the customer from receiving two events for the same time.

One flow, different kinds of appointment businesses.

Appointment booking questions

Do we need Microsoft Bookings?

No. Use it when the business already runs its services and staff there. Outlook Calendar is the right direct-calendar option for many small teams.

Does Velaro create a separate calendar?

No. Velaro runs the customer workflow and writes the confirmed appointment to the selected connected calendar system.

Can we connect multiple calendars?

Yes, for conflict checking. Select one primary calendar owner for each service so the booking has one authoritative event.

How do plans affect this?

Calendar and appointment capabilities are enabled by subscription and connected integrations. Your account administrator sees the eligible options during setup.
